ICARP IV Summit Presenter Instructions

Oral presentations (in-person and virtual) during the ICARP IV Summit (25-28 March 2025) will take place within the individual sessions posted in the ASSW 2025 Program. Poster presentations will be hosted within the ICARP IV Poster Exhibit and Poster Reception on Wednesday, 26 March 2025. See further information about poster presentations here.

Some adjustments to the program schedule are likely in the coming weeks; please refer to the online program for the most up-to-date information. All ICARP IV Summit sessions will be offered in a hybrid format using Zoom for both in-person and virtual oral presentations.

Oral Presentation Instructions

    Presentations during the ICARP IV Summit are requested to be no longer than 10 minutes in length, unless more specific guidance is provided by the session conveners.

    The conveners will keep strict time to ensure the session stays within its allotted time frame.

  • unfold_moreIn-Person Presentations

    Please arrive about 15 minutes before the start of the session to introduce yourself as speaker with the session conveners and to ensure the technical AV staff in the room have your presentation loaded. See instruction below for uploading your presentation in advance.

    It is not possible to connect your own computer for your presentation because it may distrupt the AV system for those attending online.

    Questions for your presentation can be asked both by the audience in-person and online. The online participants will ask questions via the Zoom chatbox. The session convener will moderate the discussion.

  • unfold_moreVirtual Presentations

    Zoom will be used for online presenters to connect to the sessions. If you have used Zoom before, this should be a very familiar system for you. You must install and set up zoom in your computer before the session and make sure your audio and video settings are correct.

      • Open hybrid sessions: Access will be provided via a Zoom link that registered conference participants will receive before the start of the conference.
      • Closed hybrid sessions: Zoom links will be distributed to the invited participants by the session convener(s).

    You should join the Zoom session 15 minutes before the start of the session, so that you can test the audio and test if you can share your screen. The volunteer in the session room on-site will be logged into Zoom and will have a list of all presenters. But you should nevertheless identify yourself to them just in case.

    We do not accept videos for the presentations. The presenting author must attend the session (or designate a co-author who is attending as presenter). The presenting author is highlighted in bold and underlined in the session program. If the presenting author changes, please notify the session convener at least 24 hours before the start of your session.

    You can share your screen to run your presentation from your computer. If you are using multiple screens, be sure to share the one that is in presentation mode. Please test it in advance.

    As backup: If you are concerned about the stability of your internet connection or your ability to share your screen, you may provide your presentation in advance using the upload instructions below. The technical support volunteer will run your presentation slides while you use the audio to present.

Presentation slides must be uploaded in advance by Friday, 21 March 2025:

  • Please upload your presentation as either a PowerPoint presentation or PDF to the Dropbox folder linked below by Friday, 21 March 2025. Please include both the session number and the presenter author's last name in the filename. For example, "1.1_Smith_ICARP-IV-Presentation.pptx".
  • Presentations will be preloaded to the designated podium laptops in the conference rooms for the corresponding sessions. Presenters will not be permitted to use personal laptops for presentations so that we can minimize disruptions to the hybrid format of the sessions.
  • Virtual presenters can either share their slides in advance and the in-person room host can share the slides or they can share their screen through Zoom (not needing to provide slides in advance).
